The AI Front Door

One front door for every legal request in your health system

Risk needs a grievance reviewed. Procurement needs a vendor cleared. Med Staff has a credentialing question. HR is escalating. Checkbox captures every request, classifies it with AI, and routes it to the right place, so nothing arrives in your inbox by surprise.

The problem

Legal demand arrives from everywhere

Risk, HR, Compliance, Procurement, Medical Staff, Clinical Operations. Every function in the health system needs legal at some point. None use the same channel. Most don't use the same words. All of it lands in your team's inbox.

Eight functions. Six channels. No structure. Legal sees it when it's already a problem.
Cost #1

Critical requests sit unread

An EMTALA question, a possible breach, an FCA escalation. Sitting in an inbox because nobody flagged it as legal.

Cost #2

The team has no picture of demand

How many open requests right now? What's the backlog? Where is the team's time actually going? Without a front door, the GC can't answer.

Cost #3

No audit trail when it matters

When OCR asks who approved what, when DOJ asks when legal was notified, there's no record. Just a search through email.

How it works

One door in. One path to resolution

Checkbox doesn't replace what your health system already runs. It captures every legal request, classifies it with AI, and routes it where it needs to go, so legal sees a structured queue, not a flooded inbox.

1

Capture from every channel

Embedded forms in Teams, email aliases, Slack, and a self-service portal. Different request types, different intake forms, same destination.

What teams use it for

The legal work a health system runs through it

Scenarios where healthcare legal teams would use Checkbox to centralize intake, coordinate work, and build an audit trail. Configured by your team, not pre-packaged by us.

From: Risk · Patient Advocacy

Patient grievances & EMTALA

Capture grievance escalations from risk management with structured intake. Track deadlines, EMTALA on-call questions, and patient rights matters in one place.

From: Procurement · IT

Vendor & BAA intake

Route new vendor requests through a structured intake. Flag PHI access. Use automation for standard items. Keep a single record of every BAA in flight.

From: Human Resources

Employment escalations

Capture HR escalations into legal: terminations, accommodation questions, employed-physician issues. All with structured intake and an audit trail.

From: Medical Staff Office

Credentialing & peer review

Use intake and matter management to coordinate credentialing requests, fair-hearing matters, and peer-review files between legal and the medical staff office in one workspace.

From: Compliance · IT

HIPAA breach response

Coordinate legal, compliance, IT, and comms on a single matter with a shared timeline. The structured intake and audit trail you'll want if OCR comes asking.

From: Clinical Operations

Service line launches

Run legal, compliance, and credentialing on a shared timeline for a new service line, instead of three months of email coordination.

From: Foundation · Finance

501(r) & community benefit

Use matter management to track financial assistance policy reviews, community benefit work, and Foundation-Finance touchpoints with reporting your audit committee can ask for any time.

From: Medical Staff · Finance

Physician arrangements (CLM Lite)

Lightweight contract intake for PSAs, medical directorships, and co-management agreements. Sits alongside a full CLM, not in place of it.

From: GC · CCO · Board

Board & compliance reporting

Real-time dashboards and custom reports for board, audit committee, and compliance updates. The auditable record the business will ask for, in minutes not weeks.

FAQ

Questions your team will ask

The questions a healthcare GC, CIO, privacy officer, or procurement team raises before any new system goes in. If you have more, talk to our team.

Where does our data sit, and what certifications does Checkbox hold? +
Checkbox is SOC 2 Type II certified, ISO 27001 certified, and compliant with ISO 27017 and ISO 27018 frameworks. Our security team provides the full documentation package up front so your IT and information security teams can complete review in parallel with your evaluation.
How should we think about PHI and HIPAA? +
Checkbox is the legal service hub, not a clinical system. Healthcare teams typically design intake forms and workflows so PHI is referenced by matter number, not stored verbatim in Checkbox. Our security team will walk your privacy officer through the data flow, the certifications above, and what they need for their HIPAA risk analysis.
Is our data used to train AI models? +
No. Checkbox's AI features use large language models under a zero-retention agreement. Your data is not stored by the model provider and is not used to train external AI models. Our security documentation includes the technical detail your CIO and privacy officer will want to see.
We already have a CLM. Where does Checkbox fit? +
Checkbox sits in front of your CLM as the front door for legal. It captures the request, classifies it, and only contracts that need full CLM treatment get routed there. Checkbox integrates with Ironclad and Ivo so contract data flows cleanly between systems. If you don't have a CLM, most teams find Checkbox's contract intake sufficient for the volume they handle.
Our health system has multiple entities. Can Checkbox handle that? +
Yes. Custom fields, configurable views, and matter routing all support multi-entity environments. Teams typically configure entity as a field on every matter, then use views and dashboards to slice by entity, hospital, or affiliate. One system, full visibility across the parent and every subsidiary.
Our legal team is small (2-5 attorneys). Is this overkill? +
It's the opposite. Lean health system legal teams carry the highest request volume per attorney of any in-house environment, and the highest regulatory exposure. The Front Door is how a small team scales: AI handles the routine, structure handles the rest, and every hour saved on triage becomes capacity for matters that need real legal judgement.
Who builds and maintains the workflows: legal or IT? +
Legal. Checkbox is no-code. Your legal ops or paralegal team builds and updates workflows directly, without filing an IT ticket. Hitachi Digital's legal team went from 3 planned workflows to 11 in production in 3 months, with no IT dependency. That's the design pattern Checkbox is built around.
How fast can we get one workflow live? +
Weeks, not quarters. Most teams have their first intake workflow live within the first month, with security review running in parallel. Subsequent workflows take days. Talk to our team about a typical implementation path for a health system of your size.
